Practical information

There is no conference fee for MedIm participants. Included in this group are all PhD candidates, research program students and post doc`s from Norwegian institutions, who participate with an abstract. These will have their travel cost and their hotel accommodation covered by MedIm. Please help us avoid unnecessary costs by informing us of any changes in your plans for participation.

Abstract evaluation for oral or poster presentation
An abstract committee will consider your abstract for oral or poster presentation. In mid-May you will be informed if you have been selected to give a plenary oral presentation or a combined poster/speed poster presentation.

Guidelines regarding travel:
Please book your own plane tickets, as soon as possible. Your costs will be reimbursed after the event (see below). MedIm will cover economy class plane tickets and public transportation to and from the airport. Please contact us if you are unable to find economy class tickets. We recommend that you consult the program, to make sure that you arrive Bergen in time for the start of the conference, and also leaving sufficient time to get to the airport after the conference ends. We have a limited number of hotel rooms also for the night 16-17 June, if it is unconvenient for you to travel to Bergen in the morning of 17 June. Some of you will also take part in the pre conference workshop on 16 June and thus need hotel accomodation also for this night.

You will have to pay for the plane tickets and other travel costs yourself, and claim reimbursements from MedIm after the event. It is much easier if you can use your private credit card for this, rather than having you employer/project cover your travel. MedIm will cover your hotel accommodation costs and all meals directly. Make sure that you keep all original receipts, as you will be asked to submit these along with your travel reimbursement form. Practical information regarding reimbursements (forms etc) can be found on our webpage.

Please note: If you fail to show without prior notice, you will receive an invoice for your hotel reservation. If you cannot take part in the conference due to illness, you will not be charged for the hotel, but you will have to use your private travel insurance to claim reimbursement for the travel expenses. MedIm cannot reimburse any costs if the trip did not take place.

Hotel accommodation
The conference venue is Grand Terminus Hotel, centrally located in Bergen. We encourage all those who travel with a friend or colleague, to consider sharing a room. You may sign up for a double room in the registration form, naming the person with whom you would like to share room.

The "Flybussen" takes you to the Central Station, only a few minutes walk from the hotel.
