Candidate's Checklist

What to do Deadline:

Before the thesis can be submitted, the organized academic training must be completed.


The submission of the thesis must be recommended by the supervisor.

If the work contains joint publications involving the supervisor(s) or other authors, it must be made evident how the candidate's work can be identified in the preface of the thesis (see example below).

"Contributions
I performed all work on which this thesis is based. (Name) contributed significantly to the planning and running of the experiment in paper I, and (Name) and (Name) contributed to the planning of the experiments in paper II, III and IV and where involved in the final stages of writing for all the papers in the thesis."


A statement from co-authors must be submitted together with the thesis.

An application for assessment of the thesis (with a recommendation from the main supervisor and the Department) together with the proposal of an evaluation committee must be submitted to the Faculty at least three months before the public defence.

Appointment of evaluation committee (Norwegian only)

5 printed copies of the thesis are to be submitted together with the application for assessment of the thesis:

  • one for each of the members of the evaluation committee (3 persons)
  • one for the supervisor
  • one for the department/faculty
An electronic copy of the thesis (.pdf-file) must be delivered on a CD to your Department.
3 months before defence
The candidate is to be informed about the composition of the evaluation committee within 4 weeks after submission of the thesis. The candidate can comment on the composition of the committee in writing within a week of this. 2 months before defence

The committee is to submit a joint detailed report within 5 weeks before the public defence. The candidate may submit written comments about the report within 14 days.

The final version of the thesis should not be printed before the committee has approved the thesis for public defence.

After submission of the thesis, the doctoral candidate can only make corrections of a formal character, and an errata sheet detailing all such corrections must be submitted 4 weeks before the date of the public defence.

Print

ISBN-number and ISSN-number should be ordered online before the order from the publisher is made. (The date of the public defence decides which year the doctoral degree is completed, and this should also be reflected in the serial number).

Printing can be ordered from NTNU-trykk or from Tapir Uttrykk.
NTNU-trykk is cheaper than Tapir, and the Departments usually prefer that NTNU-trykk is used for publishing doctoral thesis.

The number of copies, distribution and economic conditions are decided by the Department/ supervisor.
Around five days after the thesis has been given to the publisher, the candidate receives a temporary version of the thesis for proofreading. The candidate gets 3-4 days for proofreading (try to avoid too many rounds). The final printed version is ready aprox. 5-6 days after the last proof is submitted.

All candidates must deliver an electronic version of their doctoral thesis to the library for the archive and for electronic publication. (This comes in addition to the submission of the printed version).

It is possible to be exempt from electronic publication, but the thesis still needs to be submitted electronically for the archive.

5 weeks before defence
The public defence of the thesis should be held within 4 months after submission of the thesis, and can at the earliest be held five weeks after the committees report regarding weather the thesis is worthy of defence has been presented to the Faculty. 5 weeks before public defence
An overview of any corrections made in the thesis work must be submitted at least four weeks before the public defence.  

The final thesis should be distributed as follows:
  • One copy to each of the committee members, as well as the Chair of the public defence (Head of Department or Assistant Head of Department)
  • 6 copies to the Department
  • 2 copies to the Faculty
  • The censor's version is given to the administrator of the committee.
4 weeks before defence

A prescribed subject for the public trial lecture will be announced to the candidate 14 days prior to the day of the lecture. The subject will be forwarded to the candidate's NTNU e-mail address unless it is specifically asked for it to be sent elsewhere. Please notify the faculty at postmottak@nt.ntnu.no if another email address is preferred. The subject can also be collected at the Faculty's administration office.

Public holidays etc will not prolong the 14 days period.

14 days prior to the defence

Make sure to check that the auditorium and the equipment is in order the day before the public defence.

The trial lecture and public defence is preferably given on the same day. The trial lecture is to be held before the public defence. The trial lecture usually starts at 10.15 a.m. and the public defence at 1.15 p.m. There will be time for an hour lunch between the trial lecture and the public defence.

The day of the defence
Please inform the Department about new addresses (home and work address) and email. (The Department registers the new address in the student database FS).

Remember to register at NTNU Alumni

The PHD Degree is conferred by The Faculty's Research Committee on the basis of the examination form,  the organised training and the report from the Evaluation Committee. Conferment takes place in the Committee's monthly meetings and a letter confirming an awarded degree is sent shortly after the meeting. Doctoral degree certificates are issued after the degree is awarded. Make sure that NTNU has been informed about any address changes.
 
After the defence
Doctoral degree diplomas are handed out at the Doctoral Degree Award Ceremony in Studentersamfundet in May every year. Invitations to the Award Ceremony will be sent through NTNU Alumni or by e-mail, so it is important that NTNU has your correct e-mail address even after the degree has been completed. May
