Guidelines for chairpersons

Firstly, thank you for agreeing to be a chairperson. As a chairperson, you are one of our most valuable participants. Thus, we hope you will take a few minutes to read our guidelines for chairpersons so that you are aptly prepared for this important role.

Preliminary work

Please check the venue for the session on the day that it is to be held. This can be done either at the conference webpage/online programme or in the conference app. If there is a problem, please contact the service desk.

a.) Checking in on the presentation portal: Log on at the presentation portal. Click on ‘Show User Account Details’ and scroll down. You will find a list of all sessions in which you are chairing.

b.) Checking in on the online programme: Go to (link to internet address) and type in your family name in the ‘Search Chairs’ field. You will receive a list of sessions in which you are scheduled as a chair.

Work during the session

Introduce yourself to the presenters and come to an agreement regarding how much time will be allowed for their presentation, including questions and discussion. Please start the session on time, and do not give lengthy introductions or allow major discussions about how to proceed etc.; these will reduce the time available to presenters. It is critical to maintain the allotted time; therefore, we recommend the use of the time card, which will be placed on the front desk.

For paper sessions, it is preferable that questions and discussion take place immediately after each presentation; the conference runs parallel sessions, and some participants will want to change rooms between presentations.

Please use the last ten minutes of each session to discuss and agree on one question that the participants will post to the closing dialogue between the keynotes.

Final work

Please complete the session as follows:

  1. Send the participants’ questions to the closing dialogue between the keynotes by using the following link: (TBA)
  2. Return the ‘Return Slip’ link with information about who presented and the number of session participants.
  3. Check the room for forgotten items. If any are found, please bring them to the service desk.
