Information for speakers

 

  • Please register for the virtual conference
  • All presentations will be given live in the OnAIR portal. The Conference language is English. Each presenter is allocated 20 minutes for the presentation and 4 minutes for Q&A. A total of 24 minutes. There is only 1 min for change of speaker, so please, keep within your timeslot.
  • Speakers are required to submit a pre-recorded video of the presentation in advance of the conference. This is as a security in case of technical difficulties at the time of the presentation. Go here to upload your video file (Mp4): Upload to One Drive - latest 13 June. Name the files by session number and presenting author's name. Files may alternatively be sent to silicon@videre.ntnu.no. See requirements and tips below.
  • You will receive a personal link to the OnAIR Conference Portal 7 days before the conference starts. The conference will be held through the portal OnAIR, where the underlying video meeting program is Zoom. We recommend using an updated zoom desktop client.
  • At the conference: Please enter your session room 15 minutes before your session starts to meet your chair and technical staff to check sharing screen, sound and camera settings before the attendees enter the room. A wired internet connection is highly recommended, but if unavailable, use a strong Wi-Fi connection.
  • The session chair will give you a short introduction before you start.
  • You will share your screen and give your presentation live to the audience in the conference portal.
  • Attendees will write questions during your presentation as which the chair of the session will ask out for you to answer live.
  • Technical support will be in the session room throughout the session.
  • Recorded sessions will be available in the conference portal for the attendees after the conference if you have given your consent.

Test sessions for speakers and session chairs

We have set up two test sessions for you to choose between. You can join both days if you wish. The test sessions are available in the OnAIR Conference portal. A representative from NTNU Conference will give you information about the portal and you will have time to check sound and picture, and how to share your screen. Please block your calendar for the upcoming test sessions.

TIPS FOR VIDEO RECORDING

There are several video conferencing tools available for recording of presentations. In this method, you can show your face via webcam and display your slides as you talk. You can use any meeting software like Zoom, Teams or GoToMeeting, as long as you get a good quality recording, and your final file is in the Mp4 format. Here are some links to instructions on recording a meeting on common platforms:

When making your recording, please consider the following

  • A wired internet connection is highly recommended, but if unavailable, use a strong Wi-Fi connection.
  • Place yourself in a quiet area. Avoid areas that have echo.
  • Check lights and shadows – avoid that your face falls into a shadow. Do not place yourself with a window or any strong lights directly behind you.
  • Use a solid headset with microphone close to mouth, BUT away from direct line of mouth to reduce "pops".
  • Do a test recording of a couple of minutes and review the sound and picture quality, Mp4 format, and bit rate before recording the entire presentation. Adjust if needed.
