About the course

Course content

This course covers central questions and challenges related to records management. The focus is on principles, standards and common solutions within the field of records management, in lieu of frameworks and intentions in legal frameworks, technological possibilities and human resources. The records management is also seen within the overall framework and aims of the society. The course also covers theory, practice and methods related to the analysis of functions and processes within public and private organizations. Another topic covered is enterprise architecture. How do we analyze the functions and processes of organization, and how are we able to establish good working systems for information flow and decision-making, that support business aims, needs and records requirements? Other topics covered are internal controls, information security, privacy regulations, the introduction of artificial intelligence in archives and records management, value assessment of records, records capture and preservation of the records created by the organizations. This course is based on and is a continuation of the records management and digital competence courses that are part of the BA in Archives, Museums and Records Management.

Learning outcome

Knowledge

The student knows and understands:

  • relevant terms, theories, principles and functions within the field of records management
  • the basic principles of enterprise architecture
  • the legal framework that records management operates within

Skills

The student is able to:

  • do a functional analysis of an organization and a work process analysis in an organization
  • use the skills obtained to develop and implement routines and practices that participate in a reliable and good records management practice, that preserves the trust of the records created through time
  • plan and participate in the creation of a records management strategy
  • prepare an internal control or audit of the records management of the organization

General competence

The student can:

  • analyze and discuss the challenges of digitalization in relation to records management
  • communicate professional issues within the field of records management, both in writing and orally
  • come to independent and reflective decisions on which information and records should be preserved, based on the needs of the organization and needs of society
  • communicate the importance of securing trustworthiness in records over time

Learning methods and activities

Lectures, seminars and group work. This takes place primarily digitally (in real time), but teaching and learning activities on campus may occur.

Compulsory activities/assignments

Halfway through the course a written assignment of approx. 5 pages, as well as a first draft of the term paper, must be handed in. The written assignment is to be presented orally during a lecture, while the first draft is to be presented orally at a separate mid-term seminar. If the presentations are carried out digitally, it is a prerequisite that the student participates with both camera and microphone during the entire seminar.

Comments from the course teacher and fellow students will be given at this seminar. Students are encouraged to participate actively during fellow students' oral presentation. Further information will be given at the start of the course in the first term.

Compulsory activities/assignments are assessed as approved/not approved and must be approved for the student to take the exam. Compulsory assignments must be approved in the term the course is taught. Students who have previously approved compulsory assignments in this course, must contact the teacher responsible for the course at the start of the term to get an assessment as to whether the compulsory assignment is still valid.

Examination

The course is assessed on the basis of a term paper at the end of the second term. Scope, deadline and other details will be announced at the start of the first term.

Course materials

The course reading list and course plan will be published on NTNU's digital learning platform (Blackboard) at the beginning of term. Minor changes to the list may occur during term. Students are obliged to keep informed and up-to-date on all information from teachers via the learning platform and NTNU e-mails.
